Elgin Arts Association Meeting
February 17, 2011

The resignation of EAA elected president, Nancy Lou Webster was
announced and her letter of resignation read.
Discussion followed regarding the process of replacement.
The issue of ambiguous wording in EAA’s bylaws regarding a quorum was
discussed and the Board will work toward rewriting the necessary portion
of the bylaws and bring changes to the membership at a future date for
approval.
Rosemary asked for and received EAA’s continued support for the youth
and children activities with which she has been involved. It was stated
that these activities are in complete alignment with EAA’s mission
statement.
Spring Break Activities – March 16 - 18
City Scavenger Hunt – March 26
Elgin Easter Egg Hunt – April 23
Rosemary stated that she will be away during Spring Break and gave us
the contact information. Elizabeth offered to be the contact person.
Becky, Sarah and Elizabeth expressed interest in helping as they did
last year. Sarah will get further information from Rosemary and
Elizabeth so that others can be invited to participate.
The discussion returned to the election of president. After much
discussion
Elizabeth suggested that we elect from current attendees an acting
president and have it confirmed as a formal election at the next
meeting. This suggestion was well received by all present.
Elizabeth called for nominations for president.
Becky nominated Sarah Page who accepted the nomination. Frank moved to
accept Sarah as Acting President, the motion was seconded by Mary.
Elizabeth called for a vote and Sarah was unanimously elected as Acting
President.
The next item on the agenda was Membership fees.
Sarah proposed altering the membership fees to $10 adult and $5 student.
Rosemary objected to there being any fees for youth. The proposal of a
youth category of membership was tabled for later discussion.
Sandy moved that EAA membership fees be set at $10 single and $15
family. The motion was seconded by Elizabeth and was carried by a
unanimous vote.
Frequency of meetings was discussed and it was decided that at least for
now we will continue to meet monthly.
The meeting date for March was discussed. Many people will be away
during Spring Break and the 2nd Thursday was suggested as an
alternative. Sarah offered to follow up with those who needed to check
their calendars.
Sandy offered to have a small “make & take” for our next meeting.
The next item for discussion was the Pearls Scholarship award process.
Elizabeth offered to take the applications to the High Schools in Elgin.
Sarah offered to investigate ways to get the information to home school
students.
Rosemary suggested that instead of 2 $1000 scholarships we should award
4 $500 scholarships. After lengthy discussion Frank moved that we move
forward with the 2 $1000 scholarships for this year and investigate at a
later date the potential benefits to the students of spreading the money
among more students. This motion was seconded by Elizabeth and was
passed by majority vote.
The meeting was adjourned at 8:30pm
