May 2009 Meeting Minutes and Update
General Membership Meeting

Meeting was called to order by president, Lynette Hampton at 7:05pm.
Lynette gave the Treasurers report in Elizabeth’s absence. The current balance of the bank account is $852.45.
Lynette gave a report of the last mini-workshop held Saturday April 18th on Web Site Design for Artists. She related that although there were few attendees it was well received and appreciated.
The next mini-workshop will be Saturday, June 20th and will be the first of a 2 part presentation by Jan Knight in creating a wall pocket with clay. Details of this exciting workshop will be sent out soon.
Lynette reported that, though the crowd wasn’t tremendous, Art Walk locations reported a steady flow of patrons. Frank Brabec mentioned the lack of Art Walk signs, and it was noted that the lack of an Art Walk map made finding participating locations difficult for visitors. Discussion followed about ways to improve visibility for locations and artists at future Art Walks.
There were 21 participating artists which worked out well for the lower number of participating businesses. One artist set up in the park which worked out well since there was live music that night.
The EAA Children’s Art Activity also set up in the park. Kudos, and a big “thank you” goes to Joyce Batty and Mike Krone for volunteering their time for this activity and for their fabulous work with the kids.
Reed Moore of Elgin ArtWorks reported that Art Walk was very successful for his store. Reed expressed his willingness to pitch in and help in any way he could. Thanks Reed!!!
The next Art Walk is scheduled for November. Lynette is working with the City staff to help identify the right marketing “target” for Art Walk advertising.
EAA Children’s Art Program: Ava reported that EAA Committee members have begun investigating how EAA can work with the Elgin Public Library in presenting art activities for kids. The library currently has a weekly program from 4:30 – 5:30 every Wednesday that could really use our help. Ava has agreed to coordinate our efforts to work with the Library and the kids!!! Thanks Ava!
Lynette related that though the EAA Combined Committee has discussed and investigated several different avenues to fulfilling our mission statement that the work with the children through the Library program promises to be a significant focus for at least the remainder of the year.
BEST - Ava reported that conversations continue with members of the art groups in Bastrop, Taylor and Smithville toward a collaboration. It is a potential project in which each of the groups is interested. A combined picnic has been proposed but not yet scheduled as a way for all area artists to get to know each other and to begin working together.
EAA Watercolor Workshop – As part of our continuing effort to encourage creativity in the community, EAA will host a watercolor workshop taught by Elizabeth Sullivan. The workshop is scheduled for Sunday, June 7 from 1 – 4 pm at the Elgin Public Library Meeting Room. Watch your email for details.
Artist Day at Design Access – There are still days available for Artists to meet, greet and work their magic at Design Access. Contact Elizabeth Sullivan who is coordinating this very successful partnership. Email: ecsullivanart@aol.com
PEARLS
The Pearls Committee, now being a formal entity with bylaws and officers, and having settled the legal issues presented their proposal to transfer Pearls to Elgin Arts Association.
Discussion prior to the vote included an estimate of existing funds in the Pearls account of “around $6000” after final transfer of the funds for the two recently awarded $1000 scholarships.
Cheridah Vaughn, who has been an integral part of Pearls through thick and thin, will continue to assure its success both through taking on certain activities and by offering experience based guidance for other aspects of the event planning.
Melissa Rackel said that they had attempted to issue a press release regarding the two scholarship awarded but that they were told it would cost $160.00 because of all the current awards being issued. It was decided that the Press Release could wait until later in June and can be followed up with the assistance of EAA members.
Nancy Lou Webster moved that EAA accept the proposal issued by the Pearls Committee. The motion was seconded by Ava Barker.
A quorum was established and the vote was conducted by secret ballot (5 votes by proxy) and the result was unanimous for the acceptance of the Pearls Committee proposal. 15 Yes, 0 No.
Discussion of the next steps ensued. Within the next two or three weeks a draft joint board resolution will be sent to officers of the Pearls Committee and EAA.
Gratitude was expressed to the Pearls Committee for the work they did to ensure the continuation of this important event for the community. Melissa expressed her heartfelt gratitude to both Cheridah and Gary Vaughn for their help, without which the show could not have continued last year.
Gary Vaughn noted that in 2009, for the first time in it’s 20 years, Pearls will be under the auspices of a non-profit organization and that this fact will be significant to its many supporters.
There being no further business the motion to adjourn was made by Sarah Page and seconded by Greg Silkenson.
